Event Details:

Set-Up Time: 8:30 am - 9:45 am
Market Hours: 10:00 am - 5:00 pm

Location: Corner of Center St and Main Street ( Rt 21) Navarre Oh 44662
Please refer to the attached map to determine your designated location for the event.

Facilities:
Restrooms will be available on-site for all vendors.

Parking:
Vendors can park in the parking lot numbered 32-48 once you have completed your setup.

IF YOU ARE UNABLE TO PARTICIPATE IN THIS EVENT, PLEASE LET US KNOW! When vendors are a no-show this affects the other vendors. If you have two no-shows without notice you will no longer be allowed to participate in the future events. 
THERE WILL BE NO REFUNDS OR SWITCHING OF DATES 

 

Vendor Requirements for Mobile Food License - for product that requires temperature control: 

Food or beverage prepared on site for immediate consumption (street tacos; coffee/tea/fresh juice)

Food prepared in a commercial setting & not exempt under ODA Cottage Food Law (cheesecake, cream pies, etc)

Animal products (eggs, raw meat, dairy)

Exempt Cottage Food Producer

Non-hazardous food items produced at home (or non-commercial setting) that do not require licensing or inspection by the ODA. Items must be appropriately labeled in order to be approved following ODA labeling requirements. 

Examples include but are not limited to: cookies, brownies, fruit pies & cobblers, jams, jellies, granola, ground coffee/coffee beans, dry tea blends, dry herbs & herb blends.

Prepared Food- Mobile Food License Required*

Potentially hazardous food items that require temperature control. Vendors fall into the following categories: 

Food and/or beverage freshly prepared at the Outdoor Market for immediate consumption

Examples Include: street tacos, deep fried food, iced tea & coffee, fresh juice

Food prepared in a commercial kitchen that is not an Exempt Cottage Food. 


Preferred Event Date(s):
As of Now dates will be all Saturday April 1st through October 31st.- If we see high-demand we will extend to Sundays.

Vendor Terms and Conditions for the Outdoor Community Market:

Agree to Terms and Conditions  

Application and Acceptance:

Completion of the vendor application does not guarantee acceptance. Vendors will be notified of their acceptance status within a reasonable timeframe.

2. Space Allocation:

Vendor spaces are allocated by the market organizers based on the type of products or services offered. The market organizers reserve the right to adjust space allocations if necessary.

3. Fees and Payments:

Vendors are required to pay the specified fee for their allocated space in advance. Payment details will be provided upon acceptance.

4. Cancellation and Refunds:

Cancellations must be communicated to the market organizers as soon as possible. Refunds are not accepted due to the space availability. 

5. Set-Up and Breakdown:

Vendors must adhere to the designated set-up and breakdown times. Late arrivals and early departures may affect future participation opportunities.

6. Booth Requirements:

Vendors are responsible for providing their own equipment, including tents, tent weights, tables, and displays. All displays and signage must be professional and aesthetically pleasing.

7. Products and Services:

Vendors must accurately represent the products or services as described in their application. Only approved items may be sold, and any changes must be communicated to the market organizers.

8. Licenses and Permits:

Vendors are responsible for obtaining and maintaining all required licenses and permits. Copies of licenses and permits must be submitted to the market organizers before the event.

9. Insurance:

Vendors are strongly encouraged to carry liability insurance. The market organizers are not responsible for any damage, loss, or theft of vendors' property.

10. Compliance with Regulations:

Vendors must comply with all local, state, and federal regulations. Failure to comply may result in immediate expulsion from the market.

11. Clean-Up:

Vendors are responsible for keeping their space clean and free of debris. Trash and recycling bins will be provided; vendors must dispose of waste properly.

12. Conduct:

Vendors are expected to conduct themselves in a professional and respectful manner. Any disruptive or inappropriate behavior may result in expulsion from the market.

13. Amendments:

These terms and conditions may be amended by the market organizers, and vendors will be notified of any changes.

By participating in the outdoor community market, vendors agree to abide by these terms and conditions. The market organizers reserve the right to enforce these terms and take appropriate action in the event of non-compliance.


Attendance and Cancellation Policy for Outdoor Merchants Community Market:

The Outdoor Market operates year-round, rain or shine. Be prepared to set up in all types of weather. Unless the Outdoor Market is canceled, no refunds will be given in the event of inclement weather or lack of business due to the weather.

Attendance is taken every Market day and will be factored into the approval process for subsequent applications, market days, & special events.

 1. Vendors are expected to be at the Market each day of the 2024 season they have applied for. 

2. Vendors must be open & ready to sell at the start of each Market day 

3. Vendors must remain until the end of each Market day.

4. Vendors are responsible for maintaining their schedule. 

5. Dates requested verbally, via email, or via text will not be acknowledged until requested via info@merchantsmain.com 

6.. There is no guarantee space will be available & the Market Manager has sole discretion to approve or deny. 

7. Vendors who are late & have not communicated to M.O.M. staff may forfeit their stall assignment


Emergencies & Market Cancellation 

1. In the event of an unexpected emergency that prohibits their ability to be present at Market, vendors must communicate with the Market Manager as soon as possible. 

2. Emergencies include, but are not limited to, a sudden severe illness, a death in the family, or theft/damage of inventory.

 3. If not already provided, a written summary, via email, of the reason will be requested and will need to be submitted via email. 

4. If the Outdoor Market is canceled (due to severe weather, including but not limited to tornado, hail, flash flood, or severe blizzard, etc), all vendors will be notified in advance, and will not incur any penalty for non-attendance. Snow Emergency Protocol Snow Emergencies are declared at the county level, by the Sheriff. There are three levels of a “Snow Emergency” that may be declared, with each level having a different impact on operations at M.O.M. market

 LEVEL 1: Roadways are hazardous with blowing and drifting snow. Roads may also be icy. Motorists are urged to drive very cautiously. Market is fully open.

 LEVEL 2: Roadways are hazardous with blowing and drifting snow. Roads may also be very icy. Only those who feel it is necessary to drive should be out on the roads. Contact your employer to see if you should report to work. Motorists should use extreme caution. Market is open, but individual businesses open at their discretion and must notify M.O.M management of absence. 

LEVEL 3: All roadways are closed to non-emergency personnel. No one should be driving during these conditions unless it is absolutely necessary to travel or a personal emergency exists. All employees should contact their employer to see if they should report to work. Those traveling on the roads may subject themselves to arrest. Market is closed.

Special Events M.O.M market hosts several events throughout the year that are open to Outdoor Market vendors. 

 1. Vendors should carefully consider whether their business/product is right for an event. M.O.M. is not responsible for lack of sales during a special event.

 2. Vendors approved to sell during special events must attend the Market on the approved dates. 

3. Special Event hours may differ from traditional Market hours, so approved vendors are required to operate for the entirety of the Special Event. 

4. For sampling events, vendors are required to have enough samples to last the entire event. Vendors who chronically run out may not be approved for subsequent events. 

5. Vendors who fail to meet attendance requirements and/or hours requirements may not be approved for subsequent events.

Amendments:

This cancellation policy may be amended by the market organizers, and vendors will be notified of any changes.

By participating in the outdoor community market, vendors acknowledge and agree to abide by this cancellation policy. The market organizers will make every effort to process refunds promptly and fairly within the outlined guidelines.

Attorney Fees and Costs

 In any action or proceeding involving a dispute between Owner and Vendor, arising out of the execution of this Vendor Agreement, or to collect amounts due, or to enforce the terms and conditions of this Agreement, or to recover possession of the premises, the Owner shall be entitled to receive from the Vendor a reasonable attorney’s fee, expert fees, appraisal fees and all other costs incurred in connection with such action or proceeding, to be determined by the court, mediator, or arbitrator.


Arbitration / Mediation


All disputes arising under or relating to this Agreement or any conduct of the parties in the performance or non-performance hereof shall be submitted to mediation or to binding arbitration by the parties pursuant to the Rules of the American Arbitration Association, except that the hearing locale shall be in Canton, Ohio. Discovery shall not be allowed by the arbitrator as provided in such Rules. The award of the arbitrator herein shall be entitled to enforcement in any court as a judgment on the merits.


Time
Time is of the essence of this Agreement.

Heirs, Assigns and Successors
This Agreement is binding upon and inures to the benefit of the heirs, assigns and successors in interest to the parties.


Examples Include: cheesecake, cream or custard pies, popsicles

Artisan

Non-food products created, designed, or handmade by a local artisan. 

Items must be made locally; vendors should be prepared to share where they source their materials. Examples include, but are not limited to: pottery, paintings, textiles, jewelry, candles

*Those who upcycle or repurpose items to keep them out of the landfill are encouraged to apply.
